Every figure on this page is computed from the inputs entered, by the method stated below it. Enrolvo publishes no credit ratio, no price benchmark, no pay rate and no rule: the ratio, the rate and the on-costs are yours, and the defaults are a worked example to replace with your own figures.
Accounting software for education, as a small continuing-education provider searches for it, is not the general ledger the accountant keeps; it is the money of a course, worked per cohort before it opens and reconciled after it closes. Seats sold at a price less the discounts is the revenue; the instructor, the venue or platform and the materials are the cost; what is left is the margin the provider actually earns from teaching. A provider that knows those three figures per course knows which courses to run again, which price to hold and which instructor arrangement pays. This guide walks what the software has to keep per course and why the general ledger cannot do it alone, and the free education accounting software worksheet on this site works the course margin from your own figures with no account.

Revenue per course: seats, price and the discounts
A course's revenue is seats times price less the discounts actually given: early-bird, group, member and staff rates that the general ledger records as one line. 20 seats at $300 less a 10% average discount is $5,400 on the worked example, and the software has to hold the discount per enrolment so the cohort's net is a fact rather than an estimate.
Cost per course: instructor, venue and materials
The instructor's fee, the venue or the platform, and the materials per seat are the course's direct cost: $850, $300 and $200 for 20 seats is $1,350 on the worked example. Kept per course, the figure says which delivery costs what; kept in the ledger's overhead, it says nothing.
Margin, and what the record does with it
Net revenue less direct cost is the margin, $4,050 and 75% of net on the worked example, and the decision it drives is whether to run the cohort again, at what price, and with which instructor. The paid plan keeps every cohort's revenue, cost and margin against the course so the next term's calendar is read from last term's figures.
Accounting software for education: common questions
What does accounting software for education need to do for a small provider?
Keep revenue, discounts, direct cost and margin per course and per cohort, with the enrolments and fees behind them, so the provider knows which courses pay. The worksheet on this site works the margin; Enrolvo Pro keeps it per cohort.
What is a good margin on a continuing-education course?
Your own figure, read against your overhead: the worked example's 75% covers a provider's office, marketing and approvals only if enough cohorts run. This site publishes no benchmark; the worksheet works your figures.
Is there a free course margin worksheet?
Yes. The education accounting software worksheet on this site is free and needs no account: seats, price, discount, instructor, venue and materials in, gross and net revenue, cost, margin and margin share out, printed as it stands. Enrolvo Pro keeps every cohort's figures against the course.
